1. Relationship with the school agreement
The Service is provided to schools and education organisations under a School Subscription Agreement or similar customer contract. If you use the Service through a school, you are an Authorised User of that school, and your use is also subject to the school’s policies, instructions, and permissions. If these User Terms conflict with the school contract, the school contract controls to the extent of the conflict.
2. Who may use the Service
You may use the Service only if you are authorised by a school or the Provider; use the account, role, and access level assigned to you; comply with these User Terms and the Acceptable Use Policy; follow applicable school policies and laws; and do not attempt to access information or modules outside your authorised role. Staff, key holders, and contractors may have different access depending on the school’s configuration. Students and parents/carers do not hold accounts: students are subjects of records, and parents and carers may receive communications from the school only.
3. Accounts and security
You must keep your login credentials, magic links, devices, and sessions secure; sign out on shared devices; not share your account or use another person’s account; report suspected account compromise promptly; use multi-factor authentication where required; and tell your school administrator if your role or access should change. The Provider or school may suspend or disable accounts for security, privacy, safety, legal, support, or contract reasons.
4. School Data
School Data is confidential and belongs to the school or relevant school community, not to individual users. You must use School Data only for authorised school purposes, and must not access, export, screenshot, copy, disclose, or use School Data for curiosity, personal reasons, unrelated employment, marketing, social media, public posting, or any unauthorised purpose. If you believe information is inaccurate, incomplete, wrongly disclosed, or sent to the wrong person, report it to your school administrator or admin@vantageschool.com.au.
5. Reports and decision support
The Service may show dashboards, scoring summaries, risk indicators, level progress, follow-up lists, timetable views, roster suggestions, and keys/access audit results. These outputs support human review — they are not a substitute for professional judgement, school policy, legal requirements, student context, or safety procedures. Final educational, welfare, disciplinary, staffing, safety, parent-communication, and access decisions must be made by authorised people at the school.
6. Communications
The Service may send or support emails, SMS messages, push notifications, and in-app notices. If you send or approve messages, you are responsible for checking that the recipient is correct, the message is appropriate, authorised, and accurate, it follows school policy, sensitive content is handled through the right channel, and consent or opt-out requirements are respected. Do not use school contact lists for personal, political, promotional, fundraising, or unrelated communications unless the school has expressly authorised it and it is lawful.
7. Prohibited use
You must not break the law or school policy; harass, shame, threaten, discriminate against, or harm another person; upload harmful, unlawful, or excessive personal information; bypass access controls or security protections; interfere with the Service; scrape, harvest, or bulk-export data without authority; introduce malware or exploit code; impersonate another person except through authorised support/admin tools; use data for targeted advertising or unrelated profiling; attempt to re-identify de-identified information; or use the Service to train AI models unless expressly authorised in writing by the school and Provider. 8. Privacy
The Privacy Policy explains how the Provider handles personal information. For School Data, the school usually controls what information is placed in the Service and how it is used. Requests to access or correct School Data should usually be directed to the relevant school; the Provider may refer requests to the school unless legally required to respond directly.
9. Availability and changes
The Provider aims to keep the Service reliable, but it may be unavailable because of maintenance, updates, outages, security work, school systems, third-party providers, or events outside the Provider’s control. The Provider may update the Service to improve features, security, reliability, usability, or compliance. Material changes to these Terms are notified to users in advance — at least 30 days before they take effect — by email, in-product notice, or contract notice, except where an earlier effective date is required by law or to address a security risk.
10. Intellectual property
The Provider owns the Service, software, designs, workflows, documentation, and Provider materials. You must not copy, modify, reverse engineer, resell, or create competing services from the Service except as allowed by law or written permission. The school or relevant rights holder retains rights in School Data and school materials.
11. Suspension and termination
The Provider or school may restrict, suspend, or end your access if your role changes or ends; your account appears compromised; you breach these User Terms or the Acceptable Use Policy; access creates a security, privacy, safety, legal, or operational risk; or the school contract ends.
12. Disclaimers
To the maximum extent permitted by law, the Service is provided "as is" and "as available" to users. The Provider does not promise that every report, import, message, score, recommendation, or integration result will be complete, current, accurate, or suitable for every purpose. Nothing in these User Terms excludes rights or guarantees that cannot be excluded under applicable law.
